About Polar Bear Time Sheet

Polar Bear Time Sheet adds a private /ts/ work-log page. A WordPress account alone does not grant access: a manager must explicitly assign one of the plugin’s Timesheet roles.
Employees can record a date, project, task, start and end time, automatically calculated duration, description, and optional ClickUp task. The responsive calendar identifies logged days, missing entries, weekly days off, date-specific days off, and leave.
Managers can:
- Grant Timesheet access to existing WordPress accounts or create new accounts with WordPress’s one-time password setup email.
- Configure projects and optionally rename historical entries.
- Configure different standard hours, weekly days off, and date-specific days off for each person.
- Review paid, sick, unpaid, and personal leave requests.
- View individual or team reports with expected, logged, and difference calculations.
- Export report PDFs, filtered CSV files, and restorable JSON backups.
- Exclude non-reporting people from aggregate team statistics.
Optional ClickUp service
ClickUp integration is disabled by default. A Timesheet manager must explicitly save a ClickUp API token and Workspace, then link WordPress users to ClickUp members. When enabled, the plugin contacts api.clickup.com to retrieve assigned, due, and overdue tasks and to update the status of a task selected by the linked user. Timesheet descriptions and work-log records are not sent to ClickUp.

Privacy
The plugin stores work-log entries containing WordPress user ID, work date, project, task, time values, duration, description, and optional ClickUp task details. It also stores weekly and date-specific days off, standard schedules, leave requests, theme preference, aggregate-report inclusion preference, and an optional ClickUp member ID in user metadata.
The plugin registers this information with WordPress’s Personal Data Export and Personal Data Erasure tools. Site owners remain responsible for their retention policy and for providing an appropriate privacy notice to employees.
The optional footer credit is disabled by default. The plugin contains no advertising, usage tracking, remote updater, or telemetry.
Installation
- Upload and activate the plugin.
- Open Timesheets > Existing WordPress users and grant access to the appropriate accounts.
- Open Timesheets > Projects and configure selectable projects.
- Direct permitted users to
/ts/. - Optional: connect ClickUp under Timesheets > ClickUp and link each member under Timesheets > Team.
Upgrading from the former private Time Sheet build copies its projects, entries, roles, schedules, leave records, preferences, and ClickUp mapping into the new uniquely prefixed storage. The old data is not deleted.
Frequently asked questions
Does every registered WordPress user get Timesheet access?
No. Only accounts explicitly assigned a Timesheet role, or administrators with the plugin management capability, can open the panel.
Does the plugin use a separate login?
No. It uses WordPress accounts, authentication, and password-reset emails.
Who can read team reports?
Only Timesheet Report Viewers, Timesheet Super Admins, and WordPress administrators with the report capability.
What happens to data when the plugin is deleted?
Business records are retained by default. ClickUp credentials and plugin roles/capabilities are removed. A manager can opt in to complete data deletion under Timesheets > Backups before uninstalling.
