About Accessible Docs

From the official readme · v1.0.4

Description

Make your PDFs accessible with a single click
AccessibleDocs WordPress Plugin helps you deliver accessible PDFs in compliance with WCAG and ADA accessibility standards – right from your website. When visitors click on a PDF link, a customizable popup invites them to request an accessible version by email. Documents are processed by the AccessibleDocs platform and automatically delivered.
This ensures your digital content is screen reader friendly and inclusive for all users – without requiring manual file conversion.

Key Features

  • Automatic PDF Accessibility Conversion
Turns your existing PDFs into accessible documents via the AccessibleDocs platform.
  • Email-Based Delivery
Users receive the accessible version directly to their inbox.
  • Request Logs for Admins
View all requests in the WordPress dashboard. Search by file name or email, filter by date range and status.
  • Popup Customization
Modify texts, language, and behavior to fit your site’s tone and audience.
  • Multilingual Support
Full compatibility with Polylang and WPML. Enable or disable popup per language.
  • Accessibility Built-In
The popup is keyboard-accessible and works well with screen readers.

Real-World Usage Examples

  • A university website allows students to request accessible syllabi and brochures.
  • A government portal ensures all public PDFs are compliant and inclusive.
  • A nonprofit site offers accessible reports to visually impaired donors and researchers.
  • An e-commerce platform provides accessible product guides and manuals to all customers.

Who Is It For?

WordPress Website Administrators
Save time and legal risk – no need to convert PDFs manually. Gain visibility into document requests directly from your dashboard.

End Users / Visitors
Whether visually impaired or using assistive tech, users can request and receive accessible documents quickly and privately.

Accessibility Consultants & Agencies
Embed this tool in client websites to automate accessibility offerings without complex integrations.

External Services

This plugin connects to the AccessibleDocs platform API (https://api.accessibledocs.ai) for PDF processing and status tracking.

The following data is sent only when a visitor submits a request (or re-requests the same file to check its status):
– The AccessibleDocs account email and password entered in the plugin settings (to authenticate with the API)
– The visitor’s email address (the platform sends the accessible file to it)
– The requested PDF file itself, with its file name, size and MIME type

Nothing is sent when visitors simply browse the site or download the original file.

Service provider:
– Terms of Use
– Privacy Policy

Accessibility Compliance

This plugin interface follows WCAG 2.1 success criteria:

  • 1.1.1 – Non-text Content: Icon-only controls (such as the close button) have accessible text labels.
  • 1.3.1 – Info and Relationships: Popup uses semantic HTML markup for clear hierarchy.
  • 2.1.1 – Keyboard Accessible: All interactive elements are reachable and operable via keyboard.
  • 4.1.2 – Name, Role, Value: Form inputs and buttons have programmatic labels and roles.

Note: The generated accessible PDFs are processed by the AccessibleDocs platform according to PDF/UA and WCAG 2.1 requirements.

Custom Styling

You can override popup styles via CSS in your theme. The dialog box is .accessible-docs-popup__inner (.accessible-docs-popup is the full-screen container, .accessible-docs-popup__wrapper is the dimmed overlay):

.accessible-docs-popup__inner {
    border-radius: 8px;
    padding: 2rem;
}

For advanced control, enqueue your styles via wp_enqueue_scripts in your theme or use inline styles with wp_add_inline_style.

Developer Notes

The plugin is built with extensibility in mind. Available filters:

  • accessible_docs_rate_limit – maximum number of new processing requests per visitor IP address per hour (default 30, return 0 to disable the limit).

    add_filter( ‘accessible_docs_rate_limit’, function () { return 50; } );

Future updates will expose more hooks for customizing popup behavior, validation, and request arguments.
Let us know via support if you’d like a specific filter added for integration needs.

Support

Installation

  1. Upload the plugin folder to /wp-content/plugins/accessible-docs or install via the WordPress Plugin Directory.
  2. Activate Accessible Docs through the Plugins screen in WordPress.
  3. Go to AccessibleDocs in the admin menu and enter the email and password of your AccessibleDocs account. The popup is not added to the site until both are saved.
  4. Go to AccessibleDocs > Popup settings, check Enable popup (it is disabled by default) and adjust the texts. On multilingual sites (WPML/Polylang) repeat this for each language.
  5. If you use a page cache, clear it. Visitors clicking a PDF from your Media Library will now see the popup.

Frequently asked questions

Will my uploaded PDFs be stored anywhere?

The plugin itself only stores a request log (visitor email, file, date, status) in your WordPress database. The PDF is sent to the AccessibleDocs platform for processing and stored in your AccessibleDocs account.

Is the plugin free to use?

The plugin is free to install, but it requires an active AccessibleDocs subscription to process documents.

Does it work with external PDF URLs?

No, currently only PDFs uploaded to your WordPress Media Library are supported.

Is the popup accessible via keyboard and screen readers?

Yes, the popup is designed to be keyboard-navigable and screen-reader friendly.

Can I customize the popup content or style?

Yes. All popup texts can be changed in AccessibleDocs > Popup settings. The appearance can be adjusted with CSS in your theme (see Custom Styling).

How do I track user requests for accessible documents?

View all requests under AccessibleDocs > Documents List in the WordPress admin panel. Search by file name or email and filter by date range and status.

Does the plugin support multilingual websites?

Yes, it’s fully compatible with WPML and Polylang. You can translate popup content per language.

Will users get the accessible file instantly?

No. Processing takes some time (the default popup text says up to 24 hours). When the file is ready, the AccessibleDocs platform emails the accessible version to the address the visitor entered.

Is the request status in Documents List updated automatically?

Yes. Once an hour the plugin asks the AccessibleDocs platform about requests that are still being processed (for up to 30 days) and marks finished ones as completed.

Can I limit or disable the popup on specific pages or languages?

The popup can be enabled or disabled per language (WPML/Polylang). Per-page control is not available yet – when enabled, the popup appears for PDF links on all pages.

The popup does not appear. What should I check?

Make sure the AccessibleDocs email and password are saved, Enable popup is checked for the current language, the link points to a PDF in your Media Library, and your page cache is cleared. On multisite, make sure the plugin is active for that site (per site or network-wide).

Changelog

Recommended: fixes the popup on cached sites, adds automatic status updates, multisite support and accessibility improvements.

1.0.4

  • Improved: works reliably on sites with page caching – a fresh security token is requested when the form is submitted.
  • Improved: request statuses in Documents List are updated automatically every hour.
  • Improved: full multisite support – network activation, sites added later and complete clean-up on uninstall.
  • Improved: the API access token is cached instead of signing in on every request; the credentials are verified when you save them.
  • Improved: a failed status check no longer sends the same document for processing again.
  • Accessibility: the popup moves keyboard focus into the dialog, keeps it there, announces the result and returns focus to the link on close; the email field has a proper label and error message.
  • Fixed: only PDF links of your own site open the popup; Ctrl/Cmd-click and middle-click open the PDF as usual.
  • Fixed: pressing Enter in the email field no longer reloads the page.
  • Fixed: “Select All” in Documents List now enables “Remove selected”; Documents List actions work even before credentials are saved.
  • Security: the saved password is no longer printed into the settings page and is stored exactly as entered.
  • Changed: popup styles no longer affect the rest of the site; smaller JavaScript and CSS (new build tooling); admin scripts load only on the plugin pages.
  • Added: “Requires at least” / “Requires PHP” headers.

1.0.3

  • Tested up to WordPress 7.1.
  • Security: Documents List actions (delete selected, clear all) now require administrator permissions and a separate admin nonce.
  • Security: only PDF files from the Media Library can be sent for processing.
  • Security: added a rate limit for new processing requests per visitor IP (30 per hour, adjustable with the accessible_docs_rate_limit filter).
  • Security: removed disabled SSL verification from API requests.
  • Improved: files are now read directly from the Media Library when sent for processing, instead of being re-downloaded over HTTP.
  • Fixed: PHP warning in Documents List when a requested file was deleted from the Media Library.
  • Fixed: typo in the popup error message.

1.0.2

  • Fixed: admin script object and nonce naming, so the “Delete selected” and “Clear table” actions in Documents List work correctly.

1.0.1

  • Added custom HTTP header X-AccessibleDocs-Source: wordpress-plugin to all API requests.

1.0.0

  • Initial release — automatic PDF accessibility requests, admin tracking, popup customization.
